1. Who we are

This Privacy Policy explains how ThriveCore Ventures LLC, which operates the PitchShark brand ("PitchShark," "we," "us," or "our"), collects, uses, and shares information when you visit pitchshark.ai (the "Website"), chat with us, call us, book an appointment, complete our Business Growth Quiz, email us, or receive communications from us.

PitchShark designs AI and automation systems for service businesses. Our Website and services are intended for business owners and professionals aged 18 and older.

2. Information we collect

Information you give us

  • Chat conversations: messages you send through our Website chat, and any details you choose to share, such as your name, email address, phone number, and business information.
  • Appointment booking: your name, email address, and phone number, and the appointment time you select on our scheduling page at links.pitchshark.ai.
  • Business Growth Quiz: your answers to the quiz's questions about your business, such as how you handle response times, follow-up, customer experience, and everyday operations, and the contact details you provide, including the email address we send your Business Growth Analysis to. The quiz is provided through our customer-communication platform, GoHighLevel/LeadConnector.
  • Phone calls: an audio recording of the call, a transcript, a conversation summary, your phone number, and call details such as date, time, and duration.
  • Emails: the content of emails you send us.

Please don't share sensitive personal information with us, including health or medical information about yourself, your clients, or anyone else, including in your quiz answers. We only need information about your business and how to contact you.

Information collected automatically

  • Campaign information: Booking links on some pages of our Website may include campaign tags (utm_source, utm_medium, utm_campaign, utm_term, utm_content) and a landing-page value that identify the advertising or referral source and the page you came from. We use these tags to measure which campaigns lead to appointments, not to identify you, and we do not add your name or contact details to them. Our scheduling system may store them with your booking.
  • Website analytics: if you choose to allow analytics, Microsoft Clarity collects information about how you use our Website, as described in Section 6.
  • Advertising measurement: if you choose to allow marketing, Meta Pixel collects information about your visits to certain pages of our Website, as described in Section 6.
  • Technical information: our hosting provider processes standard technical data, such as IP address, browser and device type, pages requested, and timestamps, to deliver and secure the Website.

3. How we use information

We use information to:

  • respond to your inquiries, conversations, and calls
  • schedule, confirm, and remind you about appointments, and hold meetings
  • prepare and email you a personalized AI Business Growth Analysis based on your quiz answers
  • identify and prioritize urgent or business-related messages and calls
  • review call recordings, transcripts, and summaries to follow up accurately, maintain quality, and improve our responses
  • understand which pages and campaigns are effective, and improve our Website and services
  • analyze aggregated or de-identified quiz results, which do not identify you or your business, to understand business trends and improve our services
  • measure the effectiveness of our advertising, if you allow marketing
  • keep our systems secure
  • comply with legal obligations and protect our rights

4. AI, automation, and call recording

AI receptionist and call recording. Calls to +1 (914) 425-5455 are answered by an AI voice receptionist provided by Hexona Systems. The greeting tells callers that they are speaking with an AI system and that calls may be recorded. Calls are recorded, and we store the recordings, transcripts, and AI-generated summaries. If you do not want your call recorded, please end the call and contact us by email at info@pitchshark.ai instead.

AI-assisted chat. Conversations through our Website chat may be handled or assisted by AI. They are processed by our customer-communication platform, GoHighLevel/LeadConnector, and its technology providers. We aim to make it clear when you are interacting with an AI assistant.

AI Business Growth Analysis. When you complete our Business Growth Quiz, we use AI, through our GoHighLevel/LeadConnector automation and the AI technology providers it uses, to prepare a personalized Business Growth Analysis from your answers, and we send it to the email address you provide. The analysis highlights areas of your business that may be worth improving. It is informational and does not make decisions about you that have legal or similarly significant effects.

Email concierge. Emails sent to info@pitchshark.ai are handled by an automated assistant provided by Hexona Systems and powered by OpenAI. The assistant classifies incoming emails, responds to messages, and sends internal text-message notifications to our team about urgent or high-priority inquiries. It does not make decisions about you that have legal or similarly significant effects. Privacy requests sent to hello@pitchsharkhq.com are not processed by this assistant.

Demonstrations. Call recordings presented on our Website are demonstrations. The callers in them are PitchShark team members, not customers.

5. Communications we send

We currently send appointment confirmations, appointment reminders, and responses to inquiries by email and text message. When you complete our Business Growth Quiz, we email you a confirmation of your submission and the personalized Business Growth Analysis you requested.

We do not currently send promotional or marketing emails or text messages. If we begin, we will ask for your consent where the law requires it and update this policy. Booking an appointment or completing our Business Growth Quiz does not, by itself, sign you up for promotional emails or text messages.

Text messages: message and data rates may apply. Reply STOP to opt out or HELP for help.

Mobile numbers: we do not share mobile phone numbers or text-messaging consent with third parties or affiliates for their own marketing purposes.

6. Cookies and analytics

Microsoft Clarity, only with your consent. We use Microsoft Clarity, a Microsoft Corporation service, to understand how visitors use our Website so we can improve it. Clarity does not run unless you allow analytics, by choosing "Allow all" or "Allow analytics," or by turning on Analytics under "Customize preferences." If you decline, or make no choice, Clarity is not loaded.

  • What it records: interactions such as clicks, scrolling, and mouse movement; the pages and page addresses you visit; and device, browser, and approximate location information. It uses this to produce session recordings (replays of how pages were used) and heatmaps.
  • Masking: we configure Clarity to mask text and form inputs on our pages, and we have marked our chat widget for masking. Masking reduces, but may not completely eliminate, the chance that information shown or typed on a page is captured.
  • Where it doesn't run: our Clarity setup does not run on our booking confirmation page (/booking-confirmed). Our code also does not add Clarity to the separate scheduling website at links.pitchshark.ai, which is provided through GoHighLevel/LeadConnector; technologies used on that website are controlled by its provider (see "Chat and scheduling" below).
  • Cookies: once you allow analytics, Clarity sets cookies on our Website, including _clck (which keeps a Clarity user identifier and preferences) and _clsk (which links page views into one session). Microsoft describes all cookies Clarity may use here: https://learn.microsoft.com/en-us/clarity/setup-and-installation/clarity-cookies
  • Analytics only: your choice covers analytics only. We tell Clarity that you have not consented to advertising storage.
  • Your choice is remembered: we store your choice in your browser's local storage so we don't ask on every page.

Changing or withdrawing your choice. You can change your choice at any time using the Manage privacy preferences button near the top of this page. If you withdraw consent, we tell Clarity, remove Clarity's cookies from our Website in your browser, and stop loading Clarity. Withdrawing consent does not delete data Clarity has already collected. To ask about that data, contact us at hello@pitchsharkhq.com.

Microsoft processes Clarity data under its own terms: https://privacy.microsoft.com/privacystatement

Chat and scheduling. Our chat widget, scheduling page, and Business Growth Quiz are provided by GoHighLevel/LeadConnector and may use cookies or local storage to operate, measure visits, and understand where visitors come from.

Meta Pixel, only with your consent. We use Meta Pixel, a Meta Platforms, Inc. service, to measure how our advertising performs. Meta Pixel does not run unless you allow marketing, by choosing "Allow all" or "Allow marketing," or by turning on Marketing under "Customize preferences." Your analytics and marketing choices are independent: you can allow one without the other.

  • What it sends: when you visit certain general pages of our Website, Meta Pixel sends Meta a page-view event that includes the page address and the referring page. Meta also receives technical information through Meta Pixel itself, such as your IP address, browser and device details, and Meta's own browser identifiers (see Cookies, below).
  • What we don't add: our setup does not add your name, email address, phone number, chat messages, or booking details to the events we send to Meta. We configure Meta Pixel with its automatic collection of button-click and page information turned off, and we do not use Meta's automatic advanced matching.
  • Where it doesn't run: our booking confirmation page; pages where our safety checks find that the web address or referring address may contain personal information; and the separate scheduling website at links.pitchshark.ai, to which our code does not add Meta Pixel (see "Chat and scheduling" above).
  • Cookies: once you allow marketing, Meta Pixel may set cookies on our Website, such as _fbp, which identifies your browser for advertising measurement, and, if you arrive from a Meta ad, _fbc, which stores the ad click identifier.
  • Meta's use: Meta processes this information under its own terms and privacy policy, which explain how Meta may use it: https://www.facebook.com/privacy/policy

Global Privacy Control. If your browser sends a Global Privacy Control signal, we treat it as a choice not to allow marketing, even if you allowed marketing earlier; your analytics choice is not affected. When our Website detects the signal, it does not load Meta Pixel and does not initiate Meta Pixel events. If Meta Pixel was already loaded on a page when the signal is detected, our Website also invokes Meta Pixel's consent setting to revoke consent. Browsers do not notify websites when this signal changes, so our Website checks for it when pages load or change and when you return to the tab.

Changing or withdrawing your marketing choice. You can change your choice at any time using the Manage privacy preferences button near the top of this page. If you withdraw consent, we use Meta Pixel's consent setting to pause sending events, remove Meta Pixel's cookies from our Website in your browser, and reload the page so that Meta Pixel is no longer loaded on our Website. Withdrawing consent does not delete information Meta has already received.

We do not use Google Analytics on our Website.

We keep personal information, including call recordings, transcripts, summaries, quiz answers, and Business Growth Analyses, only as long as needed for the purposes described in this policy, unless a longer period is required by law. To decide how long to keep information, we consider:

  • whether your inquiry or business relationship is still active

  • our legal, tax, and accounting obligations
  • the retention settings of our service providers

10. Security

We use reasonable administrative, technical, and organizational measures to protect personal information. However, no method of transmission or storage is completely secure.
